Receptionist/Administrative Support Job Description:

Position Summary and Purpose: To be a wonderful first impression of our company to all visitors and callers and provide administrative support for other departments when needed.

Position Primary Responsibilities:

  • Pleasant and prompt phone skills with an emphasis on customer service and the ability to quickly unite the caller with the appropriate party to meet their needs. Take complete and accurate messages when needed. Maintain a positive and professional attitude at all times
  • Make all visitors to our office feel welcome and promptly notify parties of their arrival
  • Monitor conference room(s) schedule and make sure it is set up accordingly prior to usage
  • Order lunch for conference room attendees when requested
  • Keep the reception area neat and presentable
  • Sort and distribute incoming mail
  • Order office supplies for the corporate office and breakdown invoicing
  • Any and all other duties as assigned by management

Position Secondary Responsibilities:

  • Assist other departments with overflow work including Accounting, HR, Processing and Funding
  • Assist with outgoing mail projects
  • Make airline and hotel reservations when requested
  • Arrange pick up and deliveries (UPS, floral, etc)

  • Above average ability to articulate clearly over the phone and communicate professionally
  • Ability to work with minimal supervision
  • Ability to multi-task and embrace change

Non-essential Skills and Abilities:

  • 5 years experience in an office environment, dealing with customers – prior front desk experience a plus
  • Basic knowledge of Microsoft Office and Windows
  • Finance or mortgage banking experience helpful but not required

Reporting to: Admin Manager

Physical Demands and Work Environment: Associate is occasionally required to stand, walk, sit, use hands, reach, climb and lift up to 25 lbs. Vision requirements include close, distance, color, peripheral, depth and focus abilities. Office environment generally prevails and the noise level is moderate.

General Sign Off: All associates are expected to adhere to all company policies and to act as a role model in adherence to policies.
